To further standardise the financial reimbursement processes related to PhD students' research and academic activities, and to help students better understand and apply relevant university financial policies, the Graduate School, in collaboration with the Finance Office, recently organised a specific training session on financial reimbursement and tuition-related policies for PhD students. The training was detailed, highly relevant, and warmly received by students.


Training content focused on practical needs

During the session, a systematic explanation of financial policies closely related to PhD students was provided, with key topics including:

  • Student activity related costs: A detailed introduction to the scope, standards, and required documentation for reimbursable expenses incurred when organising or participating in academic or student activities.
  • Limitation on travel related student expense: In light of PhD students' research-related travel or conference attendance both domestically and internationally, the training highlighted reimbursement standards, approval procedures, and common restrictions for transportation, accommodation, conference registration fees, etc. Students were reminded to plan their trips in advance and use funds in compliance with university policies.

In addition, a systematic overview of tuition-related policies was also provided, including tuition payment, scholarship disbursement, and fees associated with extended study periods, helping students clarify the rules and key timelines for fund utilisation.

Positive response and valuable takeaways

The training session was lively, with students actively asking questions about everyday reimbursement issues. Participating students expressed that the training gave them a clearer and more comprehensive understanding of financial reimbursement policies, particularly regarding preparations needed for future travel or conference attendance. This provided strong support for the efficient and compliant use of research funds and the successful completion of academic exchange activities.
